Configuring Mailboxes

Mailboxes from Web X Design Studio can be used with most modern email clients that support 'IMAP' connections. Some email clients will automatically configure the settings needed when you add your email address. One email client which will likely auto-configure itself on your phone is Thunderbird which is avaialble for both Apple phones and Android phones.

If you need to configure your email client manually, this guide walks you through configuring your mailboxes using the most common email clients, including Microsoft Outlook, Mozilla Thunderbird, and Apple Mail.

Note that we will have provided you with the correct server name to connect to. Where you see mail.yourdomain.com below, replace that with the server information provided.

If you need to access email quickly, you also have access to webmail, which will typically be accessed via webmail.yourdomain.com.


Key Email Settings

Before diving into the instructions for specific email clients, ensure you have the following email account details ready:

  • Username: [email protected] (replace with the name provided by us)
  • Password: Use the password associated with your email account.
  • Incoming Server (IMAP): mail.yourdomain.com
    • IMAP Port: 993 (SSL/TLS)
  • Outgoing Server (SMTP): mail.yourdomain.com
    • SMTP Port: 465 (SSL/TLS)
  • Authentication: IMAP and both SMTP require authentication.

Configuring IMAP Email in Common Clients

1. Microsoft Outlook

  1. Open Outlook and go to File > Account Settings > Add Account.
  2. Enter your email address ([email protected]) and click Advanced Options.
  3. Select Let me set up my account manually and click Connect.
  4. Choose IMAP as the account type.
  5. Fill in the server settings:
    • Incoming Mail Server:
      • Server: mail.yourdomain.com
      • Port: 993
      • Encryption: SSL/TLS
    • Outgoing Mail Server:
      • Server: mail.yourdomain.com
      • Port: 465
      • Encryption: SSL/TLS
  6. Enter your username ([email protected]) and email password when prompted.
  7. Click Next and wait for Outlook to test the settings. If successful, click Finish.

A typical outlook configuration will look like:

2. Mozilla Thunderbird

  1. Open Thunderbird and go to Account Settings from the main menu.
  2. Click Add Mail Account and enter:
  3. Click Continue. Thunderbird will try to auto-detect the settings.
  4. Manually adjust the settings if necessary:
    • Incoming Server (IMAP):
      • Server: mail.yourdomain.com
      • Port: 993
      • Encryption: SSL/TLS
    • Outgoing Server (SMTP):
      • Server: mail.yourdomain.com
      • Port: 465
      • Encryption: SSL/TLS
  5. Click Re-test and then Done once the settings are verified.

3. Apple Mail (Mac)

  1. Open Apple Mail and navigate to Mail > Accounts > Add Account.
  2. Choose Other Mail Account... and click Continue.
  3. Enter your email address ([email protected]), password, and account name.
  4. Click Sign In and then configure the settings manually:
    • Incoming Mail Server (IMAP):
      • Server: mail.yourdomain.com
      • Port: 993
      • Encryption: SSL/TLS
    • Outgoing Mail Server (SMTP):
      • Server: mail.yourdomain.com
      • Port: 465
      • Encryption: SSL/TLS
  5. Ensure Authentication is enabled for both servers.
  6. Click Sign In and wait for the account to be verified.

4. Mobile Devices (iOS & Android)

iOS (iPhone/iPad)

  1. Go to Settings > Mail > Accounts > Add Account > Other.
  2. Enter your email address, password, and description, then tap Next.
  3. Configure the settings:
    • Incoming Server:
      • Hostname: mail.yourdomain.com
      • Username: [email protected]
      • Password: Your email password.
    • Outgoing Server:
      • Hostname: mail.yourdomain.com
      • Username: [email protected]k
      • Password: Your email password.
  4. Ensure SSL is enabled and use the following ports:
    • IMAP Port: 993
    • SMTP Port: 465
  5. Tap Save to complete the setup.

Android

  1. Open your email app and choose Add Account.
  2. Enter your email address ([email protected]) and password, then select Manual Setup.
  3. Choose IMAP and input:
    • Incoming Server:
      • Server: mail.yourdomain.com
      • Port: 993
      • Security Type: SSL/TLS
    • Outgoing Server:
      • Server: mail.yourdomain.com
      • Port: 465
      • Security Type: SSL/TLS
  4. Ensure Authentication is enabled for both servers.
  5. Tap Next and then Done.

Changing your email password

To change the password associated with your email account. Connect to webmail.yourdomain.com and click on 'Password & Security':

If you do not see this screen, and you are taken in to your mailbox initially, click on 'Webmail Home' and it will take you to that screen:

  • Check Your Internet Connection: Ensure you’re connected to a stable network.
  • Double-Check Passwords: Confirm you’re using the correct email password.
  • Verify Ports and Encryption: Ensure the correct ports and SSL/TLS encryption are set up.
